PT Bookkeeper - Moorestown Library

Moorestown Library, a vibrant and growing public library, is seeking a reliable and detail-oriented individual to join its administrative team. The ideal candidate will be highly organized, capable of managing multiple tasks independently, exercising sound judgment, and handling confidential information with discretion. This position reports directly to the Library Director.

Excellent communication and decision-making skills are essential, along with proficiency in QuickBooks, Microsoft Excel, and Microsoft Word.

Key Responsibilities:

  • Handle and record all incoming payments, donations, fines, and fees.
  • Process vendor invoices for timely payment.
  • Create and maintain vendor accounts, purchase orders, and vouchers; oversee accounts payable and receivable, monitor balances, and coordinate fund transfers.
  • Maintain and update general ledger and subsidiary ledger schedules to support monthly closings and financial reporting.
  • Monitor inventory of office and housekeeping supplies.
  • Manage the ordering and receipt of library materials and supplies.
  • Reconcile bank accounts to ensure accuracy and integrity of financial data.
  • Reconcile weekly cash register totals by comparing physical cash on hand with recorded sales transactions to ensure accuracy and identity discrepancies.
  • Conduct mid-year budget analyses to assess spending to date and forecast remaining expenditures for the fiscal year.
  • Assist with preparation of payroll by reviewing electronic timesheets and maintaining confidential staff information and time off records.
  • Assist the Library Director with preparing the annual NJ State Library Per Capita Aid Application and other required reports.
  • Generate timely and accurate financial reports from accounting systems to support internal reviews and annual audit readiness.
  • Assist in organizing and compiling supporting documentation for external auditors.
  • Collaborate with the Library Director to develop the annual operating budget for the library, ensuring alignment with organizational goals and financial policies.
  • Support compliance with New Jersey State purchasing and records retention regulations.
  • Other duties as assigned.

Qualifications:

  • Associate or bachelor’s degree in accounting or a related field, or an equivalent combination of education and experience.
  • Prior experience in bookkeeping or accounting is required.
  • Experience in a public library, government, or nonprofit environment is preferred.
  • Must comply with the “New Jersey First Act.”
